Privacy Notice

1. Who we are

ClubHuntBoard is operated by Jeffrey Brian Wallace, trading as CBP / ClubHuntBoard. Jeffrey Brian Wallace is the data controller for the personal data described in this notice. You can reach us at brianwallace@mynetlan.com.

2. What personal data we collect

  • Member names — added to the roster by the club administrator.
  • PINs — chosen by members and stored only as secure one-way hashes; we never see or store the actual PIN.
  • Email addresses — optional, provided by the club administrator or member, used for account and subscription matters.
  • Club content — harvest records, sign-in activity, work days, messages, and photos your club posts.
  • Billing information — handled by Paddle, our Merchant of Record. We receive your plan, subscription status, and the email used at checkout; we never see or store your full card details.
  • Technical data — IP address and device/browser identifiers, collected as part of delivering and securing the service.

3. Why we use your data (and our legal basis)

  • Providing the service — running the sign-in board, weather, harvest log, photos, and messages for your club. Legal basis: performance of our contract with you.
  • Accounts and security — verifying member identity with PINs, preventing fraud and abuse. Legal basis: contract performance and our legitimate interests in keeping the service secure.
  • Billing and subscriptions — processing payments and managing plans. Legal basis: contract performance.
  • Product improvement and support — fixing problems and improving features. Legal basis: our legitimate interests.
  • Marketing communications — only where you have opted in. Legal basis: consent, which you can withdraw at any time.

4. Who we share data with

  • Service providers (subprocessors) — hosting, database, storage, and analytics providers that help us run ClubHuntBoard, bound by contract to process data only on our instructions.
  • Paddle.com — our Merchant of Record, which processes orders, subscriptions, payments, tax compliance, and invoicing for the sale of ClubHuntBoard.
  • Professional advisers — legal, accounting, and insurance professionals where needed.
  • Authorities — where required by law, court order, or to protect rights, property, or safety.

We do not sell your personal data.

5. Where data is stored and international transfers

ClubHuntBoard is hosted in the United States. If you access the service from the UK, EEA, or elsewhere, your data will be transferred to and stored in the US. Where required, we rely on appropriate safeguards such as the EU Standard Contractual Clauses for those transfers.

6. How long we keep data

We keep club data for as long as your subscription is active. If your subscription ends, we keep your club's data for 30 days so you can export it, then delete or anonymise it. Billing records are kept as long as required by tax and accounting law.

7. Your rights

Depending on where you live, you may have the right to: access the personal data we hold about you, correct or delete it, restrict or object to its processing, receive a copy in a portable format, and withdraw consent where processing is based on consent. Residents of the UK/EEA also have the right to complain to their local supervisory authority.

8. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and storing PINs only as secure one-way hashes.

9. Cookies and local storage

ClubHuntBoard uses only what is strictly necessary to run the app: local storage on your device remembers which member is signed in, and cookies keep the app session working. We do not use advertising or third-party tracking cookies, so there is nothing to opt out of.

10. Changes to this notice

We may update this Privacy Notice from time to time and will post the new version on this page with an updated date.
